AIS provides access to a variety of information systems, mainframe data files, and reporting databases to MSU faculty and staff.  Before allowing access to these systems and data however, the employing department of individual requesting access to the data and the department responsible for the data must give AIS permission to grant access to the individual.

This section describes the procedures required to obtain operator authorization to access the AIS administered systems and the various applications available through them.

Application Access Procedure for AIS Administered Systems

bulletIn order to access any of the application systems administered by AIS, appropriate approvals from the employing unit and from the application steward must be obtained. 
bulletPlease fill out the ARM and have it signed by the Security Contact (or Unit  Head) for your unit and than mail the request to AIS Customer Help Center, Room 2 Administration Building.  
bulletIf necessary, AIS will collect any additional signatures necessary to process your request, like the application steward's signature for the data you wish to access.
bulletThe request for system access must be communicated to AIS using an Access Request Memorandum (ARM).  The Generic ARMs which can be used to request any type of access are available as PDF or Word. There are also several custom ARMs developed to facilitate access to specific systems, these are available at ARMS Index.  It is not necessary to use the customized form but may be more efficient.
bulletThe access request may be for a single individual operator or for an entire unit. If access is granted for the unit, future requests can be made directly to AIS without specific authorization from the application steward for each request. These direct requests must be communicated to AIS using an ARM and must be signed by the individual within the unit who has been authorized by the application steward to request this access for his/her unit.
bulletFor AIS Mainframe systems, an operator sign-on (ACID), an AIS issued password and a SecurID card will be sent (via campus mail)  to each individual specified on the request.  These are required for an operator to use the AIS mainframe.
For non-mainframe systems, a user ID and password (generally your MSU NetID and password) will be required to access the system. You will be notified when the access has been completed.

Client Based Computing Access Procedure

bulletAIS Client Based Computing (CBC) services provide tools, training, and assistance for client offices that need direct access to administrative data to write their own reporting programs or transfer copies of data to department computer systems.
bulletAccess to mainframe client based computing facilities and tools is granted on a departmental basis. The initial request should be addressed to the Data Administration section of AIS.
bulletA meeting will be arranged between the requestor and appropriate AIS Staff. At this time, specific requirements including files to be accessed and training materials will be discussed.
bulletFile access must be approved in writing by the functional data steward.
bulletThe request for access to a file should be communicated to AIS using an Access Request Memorandum (ARM). The Data Administration Section will assist in completion of this form.

Notes on Preservation of Personal Privacy and Control of Sensitive Files

bulletThere exists public and legislative concern and regulation about individual rights to personal privacy. Use of computerized data processing has greatly increased the volume of available personal data and has sensitized public awareness to the privacy issue. The issue of individual privacy and the computer therefore, can only be resolved by regulating the client.
bulletOverall responsibility for the security of the AIS Department and all facilities located in the Department rests with the Director of AIS, who prescribes the procedures by which clients may gain access to the Department. Beyond the responsibilities of the Director, the overall responsibility for security of data and application software resides with the functional data base owner as listed below:

bulletNo personal or sensitive information will be extracted from automated files without the specific prior written approval of the functional file owner. AIS cannot honor any request for data or access to source programs without such prior written approval. A copy of the release authorization request should be sent to AIS by the requesting client. Release authorization is normally granted on a one-time basis only for specific information or data. Should the requestor require the information on a recurring basis, the original request for the release of the data or information must specifically identify the request as a recurring authorization request.  Please refer questions to the AIS Help and Support Center at 353-4420 extension 311.
bulletData related to students is especially sensitive due to FERPA (Family Educational Rights and Privacy Act).  For information on FERPA and MSU's Guidelines Governing Privacy and Release of Student Records, please refer to the MSU Registrar's Office web site.
